Description

The Systems Administrator is responsible for managing the configuration, maintenance, support, and operations of Yardi 7S, RentCafé Suite, RentCafé CRM, and all other integrated software systems for The Excelsior Group multifamily portfolio which consists of 25+ multifamily properties in and around the Twin Cities Area.

Job Responsibilities and Duties

Manage the configuration, ongoing maintenance, support, and operations of Yardi Voyager 7S and all related or integrated software product offerings such as: RentCafé Site Manager, RentCafé CRM, Yardi Concierge, etc.
Provide software support to end users through prioritizing and managing digital help desk tickets to ensure time sensitive issues are handled quickly and efficiently.
Triage incoming help desk tickets or service issues and identify trends to make recommendations for training opportunities or gaps in processes
Research issues, determine when an issue needs to be sent to external support, and act as the liaison between external support and the end user through resolution.
Facilitate recurring systems training and troubleshooting including but not limited to CRM.
Create one-time software related project timelines and manage to completion as needs are identified.
Communicate effectively with Multifamily ownership entities and handle requests with urgency, as directed.
Collaborate with and support IT, Accounting, Human Resources, Excelsior Creative, and other business lines within The Excelsior Group, as needed
Manage and execute system and software related requirements for acquisitions, dispositions, and new developments to ensure successful transitions.
Ensure that Yardi Voyager 7S and related systems have procedures that adhere to organizational values and enable staff
Manage permission levels and access controls for Yardi Voyager 7S and all related or integrated software product offerings
Administer and integrate third party software and service accounts including but not limited to Nexus, Blue Moon, and Home Depot
Create custom reports or financial formats as needed and obtain customization quotes from software providers as needed
Upgrade budgeted rents for Multifamily assets annually and utilize rent matrices and/or budget assumptions.
Evaluate product offerings and make recommendations to improve best practices to keep up with current market trends and changes regularly
Document the solutions to common issues for user reference and provide content to be loaded into Multifamily SharePoint “Yardi Support” tab.
Educate users on functionality changes resulting from system upgrades.
Perform software upgrades to Yardi Voyager 7S and all related or integrated software product offerings in a timely manner.
Engage and seek out professional associations and local networking opportunities to expand systems knowledge and attend applicable conferences as directed.

Requirements
Job Qualifications

High school diploma required.
2+ years’ experience with Yardi software in system administration role a plus.
2+ years’ experience working on-site at a multifamily property a plus.
Excellent written and oral communication skills with the ability to read and interpret information as well as communicate effectively with all levels of employees, owners, and vendors.
Excellent problem solving and analytical skills
Ability to complete multiple projects to meet deadlines with a well-developed sense of urgency, high attention to detail, and follow-through skills.
Follow and adhere to organizational policies and procedures.
Aptitude to understand different software systems and how they relate to various business lines.
Ability to read, write, spell, do basic math, speak, and understand English.
Demonstrated ability to efficiently organize, coordinate, track, and complete multiple tasks as well as adjust to changing priorities.
Proficiency with Microsoft Office Outlook, Word, Excel, and PowerPoint with the willingness and ability to learn new and evolving technology, as necessary.
Ability to maintain confidentiality of proprietary information such as resident / prospect files, systems setup, operational policies and procedures, and financial information.
Possess the ability to deal tactfully with co-workers, supervisors, property investors, vendors.
Maintain neat, well-groomed, professional appearance.

Ability to travel less than five percent of the time for multi-day conferences and/or trainings.
Ability to maintain punctual, regular, and reliable on-site attendance.
Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, scanners, copiers, and facsimile machines
Ability to occasionally visit properties; must have access to reliable transportation throughout the business day. Drivers must possess a valid driver’s license, acceptable driving record, and the appropriate level of vehicle insurance
Environment

The Systems Administrator works indoors in a climate-controlled environment.

Working Hours

Typical core hours are Monday through Friday 8:00 am to 5:00 pm. Weekend work is possible, but unlikely. Flexibility is required for 24/7 on-call support, security concerns, system outages, and urgent software needs.
